Purpose
The purpose of Interlibrary Loan (ILL) Service is to obtain, whenever possible, materials not available in the GateWay Community College Library collection for the educational and research needs of the college community. This may include, but is not limited to, books, articles in periodicals, and documents. The Interlibrary Loan (ILL) service obtains materials from other libraries, both in this country and throughout the world. Requests are normally filled in 3 to 7 days from libraries within the Maricopa County Community College District (MCCCD), but allow a minimum of 2 to 6 weeks for requests outside of the district libraries. This service is free for most requests. Some libraries may impose a fee.
Intra-District Loans (IDL)
IDL loans involve obtaining library materials from other MCCCD libraries. Guidelines for IDLs are covered in the MCCCD Resource Sharing Guidelines. Requests for books listed in the Online Catalog as Available, that are located at campuses other than GateWay, may be requested online by either the patron or a staff member. Use the Place Request link from the Full Record/Title Display screen. Upon initiating the request the screen will prompt the patron for his/her library card or barcode number and a PIN number.
Note:
This is the barcode number on the student ID card or library card. All 13 digits, with no spaces must be input. The PIN number is the last 4 digits of your home phone number.
Please indicate the pickup location as GateWay when inputting your request online.
Assuming the book is available, delivery usually takes between 3 to 5 working days. If the book is charged out the request goes on a waiting list and will take effect when the book is returned. Requests are valid for 30 days, however, a staff member may extend the expiration date if needed.
Materials may be picked up at the Circulation Desk. If not picked up, items will be returned to the lending library after being held for 7 days. IDL services are provided free of charge.
Reference materials, reserve materials, books in special collections, most videotapes, audiotapes and software are non-request items and the lending campus will disregard any requests for these items.
Requests for photocopies of articles must be submitted on an Interlibrary Loan Request Form obtained from the Circulation Desk. Please use one form for each article you are requesting and provide as much information as possible. Signature is required for copyright compliance.
InterLibrary Loans (ILL)
Interlibrary Loans (ILL) generally refers to borrowing materials from libraries outside the Maricopa County Community College District. If local resources are inadequate, requests for ILLs can be made to other libraries on statewide, regional, or national levels.
Eligibility
All currently enrolled students, full time and adjunct faculty, and staff are eligible to borrow materials. Community Borrowers may request interlibrary loans through their local public library.
What may be borrowed?
- Materials not owned by the Library
- Materials declared missing from the collection
What may not be borrowed?
- Books owned by the Library that are on loan to another patron.
- Materials that are on reserve in the Library.
- Most libraries ordinarily will not lend the following types of materials
- Rare materials including manuscripts;
- Bulky or fragile items that are difficult or expensive to ship;
- Materials in high demand at the lending library;
- Material with local circulation restrictions, e.g. reference books, encyclopedias; complete issues of journals;
- Unique materials that would be difficult or impossible to replace.
Copyright
The Library adheres to copyright law; observes the provisions of the "fair use clause"; and pays copyright fees to the Copyright Clearance Center for copies above fair use.
How to request materials
- Before requesting an item on ILL, please make sure it is not available in the Library or the District by checking the Online Catalog for books and the Online Journal Locator List for magazines/journals.
- All ILL requests must be submitted using our self-serve Interlibrary loan service, ILLIAD. Set up a personal account within ILLIAD to be able to submit requests online. In order to facilitate receipt of material, online request forms should be filled out as completely as possible and abbreviations should be avoided.
How long does it take?
For easy-to-locate items, it will normally take between 2 and 3 weeks to fill an InterLibrary Loan request. For more difficult titles, it may take longer, especially if materials are requested from foreign countries or specialized libraries.
Costs?
Services are offered free of charge unless the library from which the item is obtained imposes a service charge or a photocopying fee. You set a maximum amount that you would be willing to pay with each request, which may be $0. You must pay any charges up to the maximum agreed to, before receiving the requested items. If items are not picked up, you are still responsible for these charges. Charges will be added to your patron record and handled in accordance with the Debt Policies.
Borrower's responsibilities
- Borrowed materials must be returned to the Library by the due date. Photocopies become the property of patrons and need not be returned.
- The patron is responsible for replacement costs of items lost or damaged, or for materials not returned, plus a $5 handling fee per item.
Notification
Patrons will be notified by telephone when a book or journal article is received. Patrons may pick up materials at the Circulation Desk in the Library.
Loan period
The loan period is determined by the lending institution and is usually two to three weeks.
Renewals
Lending libraries discourage renewals on InterLibrary Loan materials, but if a renewal is necessary, a request should be made through the Library at least two days before the due date. If you find that you need to keep ILL material for longer than the loan period given, you may request an extension of the due date. The Library will then ask the lending library to extend the due date. You may request a renewal by phone at 602-286-8454.
